Purpose of Processing

Information submitted through The Future We Choose contribution form is collected for the purpose of receiving, administering, securely storing and reviewing contributions for possible inclusion in this book and future related editions or projects.

Submission does not guarantee selection or publication.

Marketing communications are separate from project administration and are only sent where a contributor has separately opted in.

Information We Collect

Depending on the information provided, book submissions may include:

Legal or contact name, public name, email address, country, chosen public location, age range, adult confirmation, role or profession, organisation information, submission language, translation information, short biography, written contribution, future vision, editorial themes, optional uploaded photograph, image caption or credit, declarations, permissions, submission reference, submission date and time, and editorial workflow records.

We also record the version of the declarations and Privacy Notice accepted at the time of submission.

How Submissions Are Stored and Accessed

Written submissions are stored in a structured, access-controlled editorial system and are not managed primarily through email.

Uploaded photographs are stored in protected private storage and are not added to the public WordPress Media Library.

Full written submissions and uploaded photographs are not included in routine administrative email notifications. Administrative notifications contain only the information necessary to notify the editorial team that a submission is ready for review.

Access to submissions is restricted to authorised project personnel.

Primary editorial access is held by Dr Sam Collins Silverstone.

Secondary editorial access is held by Robert Silverstone.

Sensitive submissions must be reviewed manually by Dr Sam Collins Silverstone before publication or further processing.

Uploaded Photograph and File Protection

Uploaded photographs are restricted to approved image formats and file sizes and are subject to file-extension, MIME-type and image-content validation.

Images are stored privately and are accessed through authenticated administrative controls rather than through normal public media URLs.

The project also relies on the security protections provided by its hosting and infrastructure suppliers. Host-level malware or antivirus controls are subject to the capabilities of those suppliers.

Retention

Unsuccessful submissions may be retained for 36 months for possible future editions and will then be deleted in accordance with the project’s retention process.

Withdrawn submissions will be deleted from active systems within 30 days of a valid withdrawal request unless retention is required by law.

Selected submissions may be retained for the duration of the project and any future editions, subject to the contributor agreement.

Where a contributor has given permission for future-edition consideration, that permission applies for up to 24 months unless the contributor requests deletion sooner.

Withdrawal and Privacy Requests

Contributors may request access to or correction of their personal information.

A contributor may withdraw their submission at any time until it has been selected for publication and a publication agreement has been signed.

AI Use

Submissions will not be used to train artificial intelligence models.

AI may be used for administrative support, categorisation, summarisation, transcription and editorial review assistance.

AI will not be used to create fictional contributor content or materially alter the meaning of a contributor’s submission.

Final editorial and selection decisions remain human-led.

Publication Rights

Submitting a contribution permits Aspire International, Inc. to receive, store and review the submission for editorial consideration.

Contributors retain ownership of their original submission unless separate publication rights are granted through a signed contributor agreement.

A separate publication agreement will be required for all selected contributors before publication.

Publication arrangements relating to credit, copyright, images, formats, territory, language, audiobook use, promotion, payment and complimentary copies will be agreed separately with selected contributors.

Version and Audit Records

For audit and privacy purposes, the project records the submission reference, submission date and time, the declarations and permissions accepted, and the version of the declarations and Privacy Notice accepted at the time of submission.
